Child Abuse Prevention Plan – Communication

Responding to law enforcement or the media during a crisis can be challenging. A communication plan is key to help those involved remain calm and to guide a thoughtful response. Consider hiring a public relations firm to assist in your response. Ideally, the best time to hire a firm is before you need one.

Your plan should include:

  • A pledge for full cooperation. All school leaders, employees, and volunteers should cooperate fully with law enforcement and investigating agencies.
  • A procedure to contact your legal counsel. The leadership should seek legal counsel as soon as possible after the school receives notice of possible abuse. Advice from legal counsel should be the basis for your timely response.
  • A designated spokesperson. A single spokesperson should handle all inquiries from the news media. Offer training on how to convey information in a way that avoids compromising an ongoing investigation. Avoid using the names of minors in any public communication. When communicating, reiterate your commitment to protecting the vulnerable.
  • A script or statement for anyone answering phones. Instruct all staff members to refer media inquiries to your designated spokesperson.
  • A media statement. If the media contacts you, call the school attorney. Your legal counsel will know what information you can share with the public. Avoid holding a news conference; direct reporters to the authorities investigating the incident.

Law Enforcement and Media

The school will cooperate with law enforcement and other government officials in accordance with the guidance of the school’s attorney. Staff members will cooperate with law enforcement and other government officials as directed by the [school leader].

A designated school spokesperson will communicate with members of the news media in accordance with the guidance of the school’s attorney. Staff members will not at any time communicate with members of the news media regarding any alleged abuse or molestation occurring at the school.

The head of school will designate a spokesperson who will be the point of contact for law enforcement and government officials, as well as the official spokesperson for conveying information regarding the allegations or investigation to the news media.

The school’s spokesperson will work closely with the school’s attorney and the head of school, if the spokesperson is not the head of school, when performing these duties.
